How it works
How your text receptionist works.
Here’s exactly what happens when a customer calls and you can’t pick up, from choosing your phone setup to capturing the opportunity.
1
Step 1
Choose your phone setup
Use your dedicated receptionist number as your business contact number, or keep your existing number and forward missed business calls to the receptionist.
Option 1
Use your dedicated receptionist number
Customers call your new business number.
or
Option 2
Keep your existing number
Missed business calls forward to the receptionist.
2
Step 2
A customer calls
When a call reaches the receptionist, the caller hears a short prompt explaining their options:
1
Press 1 to continue by text.
2
Press 2 to leave a voicemail.
3
Step 3
The customer chooses text
If the caller presses 1, they opt in to receive text messages from the automated receptionist. If they press 2, they can leave a voicemail instead.

The receptionist responds
Your receptionist replies by text and can answer common questions about:

Appointment inquiries
Other information provided during onboarding
The base service answers appointment inquiries, but it doesn’t book appointments automatically.

Step 5
Capture more opportunities
Your receptionist helps you respond to potential customers even when you or your employees are busy, so a missed call doesn’t have to mean a missed opportunity.
Call missed
You’re busy with a customer.
Conversation continues by text
The caller presses 1 and gets answers.
Opportunity captured
The customer gets the information they need.

Best for
A separate, professional business line
Keeping the number customers already know
Good to know
A few things to know before you start.
Appointment inquiries, not automatic booking
The base service can answer appointment inquiries, but automatic booking is not included.
Automated, not a live person
Your receptionist is automated and uses the business information you provide during onboarding.
Call forwarding depends on your provider

No app to download
The service is managed for you, so there’s nothing to install or learn.
